Children & Families

Special information about events for children and families

  • Please adhere to the age range specified for children’s and family events.
  • Children aged 11 and under must be accompanied by a ticket-holder aged 16 or over, approved by the parent/guardian, and prices are kept as low as possible to allow for this. This person can accompany a maximum of 6 children to an event.
  • Everyone over the age of 12 months is allocated a seat and requires a ticket, while babies in arms (12 months and under) do not require a ticket unless otherwise stated.
  • Cheltenham Festivals maintains a Safeguarding Policy, but cannot take responsibility for unsupervised children.

Cheltenham Festivals is a charity. Donations are crucial to our work, helping us to deliver inspirational education programmes, enabling us to bring the arts and sciences live to audiences and support emerging talent.

Ways to Donate
There are many ways you can support Cheltenham Festivals:

  • You can add a donation to your ticket order (suggested donation is 10% of total cost of your order)
  • You can donate independently online at cheltenhamfestivals.com/support-us.
  • During the festivals you can contribute to the pink donation tubs found in various locations on site

Your donation, no matter what size, will make a difference and is greatly appreciated. Thank you.

Gift Aid is an HMRC scheme that increases the value of donations from UK taxpayers by 25%, at no extra cost to the donor. For example Gift Aid increases a £10.00 donation to £12.50, providing extra support for our work.

Important Information regarding the 2020 Cheltenham Jazz and Music Festivals

If you have purchased tickets for either the Cheltenham Jazz Festival or Cheltenham Music Festival, thank you for your patience since our communication about the cancellation of the Festivals. The processes are now in place to manage your requests regarding your tickets. You have a choice of options: donating the cost of your tickets; holding your money on account; or requesting a full or partial refund.

We recognise that these times are difficult for everyone; Cheltenham Festivals is no exception. As a charity, we are desperately trying to steer our currently extremely vulnerable ship through very difficult waters. To help ensure our survival we are appealing to you to donate all or part of the cost of your tickets. If you are able to do this, it would massively help to secure the future of this important Gloucestershire charity, so that we can continue our crucial year-round work with 30,000 children. We are deeply committed to the positive impact of the arts and sciences on people’s lives and the power they have to inspire the next generation. Help us to continue in this mission.

Our booking fee

As a registered charity Cheltenham Festivals charges a booking fee to cover the costs associated with of providing a pop-up box office during the festival periods and in other locations prior to the festival. Our charges are in line with the rising costs of this service which includes the cost of staffing, banking, developing and maintaining our booking software and postage.

Our booking fees are as follows:

  • Online sales £2.00
  • Telephone sales £2.00
  • In person cash & card sales £2.00
  • Science for Schools – Schools bookings £5
  • Science for Schools – Home Educator bookings £2

We endeavour to keep our booking fees as low as possible and charge on a per order basis rather than per ticket to ensure this. We also clarify our booking fees before any transaction is completed.


Concessions, discounts and offers

Discounts are not available for events which include catering, books or any other goods in the ticket price.

Group bookings: These are available on many events (10% off the total cost for a party of ten or more). Please contact our box office for information.

Carers: Tickets for customers who are registered disabled will be charged the standard price of the ticket. If you require a carer, support worker or personal assistant their ticket is complimentary. Please see our Access Requirements page.

Please note that events which include catering, books or any other goods, do not qualify for a free carer ticket.

Members: Gold and Silver Members receive a 10% discount on a specified number of tickets per event. 16-25 Members discounts vary. See our membership page for full details.

Tickets will not be posted if proof of concession is required so please be prepared to show relevant ID at the Box Office and upon admission to events if you are purchasing tickets with a concession.

There are no senior citizens discounts for any of our festivals


Refunds and exchanges

Please check your tickets as soon as you receive them. From the moment that the transaction is completed all tickets are non-refundable and non-exchangable.
We cannot refund money or exchange tickets, except in the case of a cancelled event, which will be refunded within 28 days.
Lost or stolen tickets are non-refundable and no duplicate tickets will be issued.

Please be advised that event speakers and or content may be subject to change. We cannot refund these tickets if the event is still taking place.

We take no responsibility for what artists and speakers say on stage. While we make best efforts to ensure that the quality of the event meets our usual high standards and is not offensive, upsetting or illegal, no refunds can be offered on the basis of what an artist or speaker says or does (or fails to say or do) during an event.


Cancellations

If an event has to be cancelled it will be announced as soon as possible. Please check our website, Facebook and Twitter pages regularly for updates. If you have bought tickets you will be contacted, usually via email or telephone and we will arrange a ticket refund or exchange.

You can book your tickets by calling our Box Office on 01242 850270. The Box Office opening times are subject to change during festival times. Please visit the Box Office page for the most up to date opening times.

All telephone bookings must be paid for by credit or debit card at the time of placing the order. We cannot reserve tickets for any event.

We do not accept orders made by post or email, please book by one of the aforementioned methods. Post and email ticket requests will not be processed.

All ticket orders are subject to booking fees. Booking fees apply per order and not per ticket.

Payments

By card: We accept payments by Visa, Mastercard and Maestro. We cannot take payment by American Express or Diners Card.

By cheque: Cheques must be made payable to CF Productions.

Donations

Cheltenham Festivals is a not for profit organisation and we rely on contributions from customers to ensure the continuation of the festivals each year. We ask all our supporters if they are able to help us with a donation when they are booking with us and we suggest an amount of 10% of the order total.

Reserved seating

We endeavour to offer reserved seating wherever possible. In order to give you the best experience at our festivals and to speed up the booking process, our system automatically selects the best seat(s) available for your chosen event. As acoustics and sight lines vary at each venue, the festival team have carefully tailored the way that the system assigns your seats for each event. Your seat numbers are referenced in your confirmation email and printed on your tickets.

Receiving Your Tickets

Tickets purchased online

Will normally be delivered to you digitally as an e-ticket. You will receive a confirmation email and then a second carrier email that includes your tickets as an attachment. Please print this attachment out or be ready to show it to staff on your mobile device to gain entry to your events along with proof of purchase. Some events will not be eligible for an e-ticket and in these cases you will either have your tickets sent by post, or you will be able to collect them from our on-site festival box offices.

Tickets sent by post

Will arrive no later than three days before the event.

Tickets to be collected

Or purchases made within days of an event will be available to collect from our on-site festival box office. Further information including opening times can be found on our box office page.

In the unlikely event that your tickets do not arrive with you in the post by the time of your event , please inform the box office staff on site and provide them with your order number so that they can re-print your tickets. Tickets can not be re-printed without a valid order number or confirmation of identity.

Always allow plenty of time before your event: If you are collecting tickets please bring a copy of your confirmation email to speed up the collection process.
